Sharing, comments, and permissions

In this tutorial, you’ll learn how to create duplicate pages. How to invite users to a document and open permissions. How to add comments, work with subpages, and work with remote documents.

Displaying the user logged into the document

The page header shows online users, both readers and editors, as well as:

  • If there is a small "blue dot" in the profile picture, it is an indicator that the user is now online and on the document;
  • Users who are not online but have edited something on this page are displayed as inactive;
  • Editors are displayed with a colored frame around the profile photo, and readers are shown without a frame;
  • Users are sorted; those who are online are listed above.
If the user has editor access and has edited something on the page, you can see their activity in the document. When you click on the profile photo, an icon in the form of an eye will appear. So you can see what the user has edited or created on the current tab/page.

Confirming requested editing rights from a notification

If the user has a link to your page, they can click the link and request access to the page:

  • If your page is private, you can select the rights of the requested user and confirm or revoke access to the page in the edit request in the notification;
  • If the page is public, you cannot select the rights for the requested user, but only confirm or cancel the request for access to the document with editing rights.

Replying to the comment

Next to the block to which you commented, there will be a comments icon. You will see only those comments left for this particular block by clicking on it. At the same time, you can reply or add a new comment.

Viewing all comments on a page

To open all the comments on the tab, you need to click on the icon of comments, which is placed near the document title.

  • It will open a window, which will show all the comments on the tab. It will be presented as a block of tiles and comments to it. So, you can easily add your comments or explanations to each desired track.
  • To create a new discussion for any of the blocks, call the menu on the right in the dots and select the item "Comment" in the list of open options; select the item "Comment". After this action, a particular field opens where you can add a comment, creating a new thread.

Creating a subpage

You can quickly develop subpages from text blocks:

  • From a standard text block;
  • Listed, dotted, checkbox;
  • Heading H1 and H2.

You need to make the type of block you need, write any text in it, or use a previously created block. To achieve this, call the menu of the necessary block and select the command "Create sub-page". It will open a new subpage, where you must choose the needed layout.

Breadcrumb document navigation

Whichever subpage you are on, thanks to the breadcrumbs, you can always understand your current spot. It helps you get back to the page you want, efficiently and at any time, without browsing all the pages manually.

Deleting the Workspaces page

On the main screen, where all your created documents are displayed, you can quickly delete the document you don't want.

To do this is elementary. Click on the menu with three dots on the document card or list. And then find the item "Delete".

After that, a dialog box will be shown, confirming or canceling the action.

Even if you have confirmed the deletion of a document, you can find it in Trash. So, it's easier to restore it if you'd like to.

Recycle bin of deleted documents

On the main screen, personal pages & my workspaces, there is document Trash, where you can collect all deleted private docs.

In the Trash, you can:

  • Restore a document;
  • Delete the document permanently (no right to recover it);
  • Delete all documents in one click (no right to restore);

- Open any document from the Trash to view its contents:

  • Restore a document from view or delete it permanently.
